Facilities Assistant - Worthing

We are looking for a Facilities Department assistant to assist in providing a high quality buildings management and refurbishment programme throughout the branch network.
Responsible for:
- Supporting the agreed refurbishment programme for the existing branch network
- Leading the sourcing of suppliers and management of their contracts for the re-branding and refurbishment programme of any acquired premises
- As appropriate, issue and monitor Permits to Work to contractors and update the relevant software with a record of completed works
- Assisting, under the direction of the Head of Commercial Property, in all aspects of administration and correspondence relating to the Group’s commercial leasehold premises
- Regular liaison with the Health and Safety officer in respect of the Group’s obligations under the Health and Safety at Work Act, Asbestos Regulations, etc.
- Rent reviews and lease renewals - undertake the initial monitoring and liaison with the parties during negotiations for rent reviews and lease renewals
- Lease queries - provide the initial contact for the Group in respect to lease disputes and lease queries
- Dealing with the security of the premises through regular liaison with the IT department and IT Director and in accordance with the Group’s insurance policies
- Database management - update and maintain the database with information on Landlords, facilities management, insurance claims etc.
- Assisting with the sub-letting or reassignment of any redundant premises from which the assignee vacates
- Dealing with the security of the premises through regular liaison with the IT department and IT Director and in accordance with the Group’s insurance policies
- Identifying new or alternative commercial premises at the direction of the Directors and Head of Commercial Property
- Making regular visits to the Group’s commercial premises as dictated by the role/leases/activities throughout its regions

The successful candidate would also need a good telephone manner, attention to detail, and the drive to provide first class customer service.
